What is this?

Local Public Accounting Firm is looking for an Assistant Controller to join their team. The Assistant Controller must be proficient in day-to-day accounting tasks including AP/AR and has the ability to lead the accounting team. The Assistant Controller will be expected to be move into a Controller role so this person must be willing to continue to develop the team, communicate expectations, and foster a high level of accountability.

What does my day look like?

  • Take on and maintain Accounts Receivable responsibilities.
  • Check and process all invoices for payment, including obtaining approvals and coding to the appropriate cost center and GL account.
  • Input invoices relating to purchase orders into the payables system, verifying vendor, product, quantity and dollars charged between purchase order information and invoice.
  • Conduct necessary research to obtain invoice, receiver or other documentation to process payments in a timely manner.
  • Reconcile vendor statements, researching and rectifying discrepancies.
  • Process discount invoices in a timely manner to capture all available discounts.
  • Prepare invoice deduction notices as necessary.
  • Verify and apply, if necessary, sales/use tax.
  • Answer/address vendor inquiries.
  • Generate accounts payable reports and maintain spreadsheets relating to coding, pricing and accruals.
  • Assist with monthly closing processes.
  • Maintaining payroll information by collecting, calculating, and entering data weekly
  • Timely and accurate processing of the hourly payroll
  • Handle payroll discrepancies through information collection and analysis
  • Protect confidential payroll operation information and maintain employee confidentiality
  • Preparation and entry of expense reports and reimbursements
  • Act as primary liaison with clients for invoicing, collections and general billing support
  • Prepare and maintain Accounts Receivable Aging and other related and ad hoc reports
  • Support Sales and Operations teams on billing related matters
  • Distributes pay applications for internal approvals and submits to client for disbursement
  • Understand financial policies and reporting procedures, contract billing types and billing terms
  • Prepare and print invoices
  • Track project budgets and related progress
  • Coordinate billing activities with Operations Management
  • Support project budget reconciliations
  • Respond to customer inquiries related to invoices
  • Participate in aging invoice reviews and account collection activities
  • Assumes additional duties/projects as assigned and/or required

What does the perfect candidate look like?

  • Meticulous organizational skills and detail-oriented
  • Strong customer service focus and communication skills
  • Associates degree in Accounting or Business Administration or equivalent experience
  • Accounts Receivable proficiency
  • Two to five years accounts payable and payroll experience
  • Experience with Quickbooks
  • Ability to work independently with minimal supervision
  • Ability to establish priorities, work independently, and proceed with objectives without supervision.
  • Ability to handle and resolve challenging problems.

What will the physical requirements be?
