Title: Billing Clerk

Salary: $19.00-$21.00/HR

Position: Temp to Hire or Direct Hire

Local Tulsa Law Firm is looking to add a Billing Clerk to their team. The Billing Clerk will be involved in all billing functions of the firm. The Billing Clerk will report directly to the Controller, but at times be available to assist or provide information to the Executive Committee or Chairperson of the Finance Committee.

As a Billing Clerk, a typical day for you might include the following:

    • Processing billings for various Attorneys, includes direct communication and problem solving.
    • Assisting with problematic billing format set-ups and resolving issues which improve the client and accounting process.
    • Preparing estimates for client closings as requested by attorney.
    • Setting up new clients and matters for attorneys and establish appropriate individual billing processes.
    • Communicating with Attorneys regarding special billing questions and procedures.
    • Determining, preparing and providing reports for upper management as needed.
    • Assisting Controller in problem solving with respect to Elite systems.
    • Processing electronic billing (approximately ½ that is being uploaded) – 15 Systems and approximately 60 clients:
    • Ensuring that all billings are processed timely by intermediaries
    • Providing monthly accruals to various clients (approximately 10).
    • Processing and providing documentation from clients for ACH’s payments.
    • Communicating with attorneys on closing matters on a regular basis.
    • Taking direction from Controller and execute various tasks as assigned including assisting with Black Book by providing several reports and capabilities.
    • Setting up rates and excluded rates including annual rate increases.
    • Providing additional support for various attorneys that includes reports, spreadsheets and Webview questions.
    • Setting up new timekeepers in Elite and Carpe Diem.
    • Maintaining timekeepers, clients and matters in Elite and C.D.
    • Working with Elite and resolve issues with billing, ledger and Webview - Establish correcting procedure - Continue researching billing software for quickness and efficiency.
    • Closing month end billing including reports and balancing.
    • Resolving balancing issues.
    • Preparing Trust Checks.
    • Balancing and keeping trust account balanced with General Ledger at all times.

This job might be for you if:

    • You have Accounting experience that includes electronic billing, accounts receivable, accounts payable, check writing, and trust account transactions.
    • You are proficient in Microsoft Word and Excel.
    • You have taken some college-level accounting courses.
    • You have prior law firm experience.
    • You have experience with Elite and other accounting software.

While performing the duties of this job:

You may be constantly required to sit and use hands to operate telephone, type and operate computer and mouse. You also may occasionally lift and/or move up to 10 pounds and rarely lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.
